Collins Roche Utley & Garner LLC (CRUG), one of Ohio’s leading defense firms with a diversified litigation practice, has an opportunity for a full-time legal/office assistant to work in its Dublin, OH office. This person will provide key support to the current team of secretaries, paralegals and administrators.

The person filling this role must be highly detailed and organized, work efficiently, have excellent oral and written communication skills and be very comfortable with technology.  This role requires a motivated self-starter, critical thinker who can comfortably handle legal and administrative support tasks with accuracy, excellent timing and follow-through.   This person must be comfortable taking directions from team members and work independently with little direction and oversight.


  • Must have recent legal secretarial experience—prefer 3+ years’ experience.  Must have knowledge of legal procedures and terminology, local and state rules regarding pleadings, pre-trial matters, deadlines and filing requirements
  • Must have previous office administration experience
  • Must be highly detailed and organized, as well as efficiently and accurately accomplish tasks
  • Must have excellent oral and written communication skills—be able to professionally handle calls from outside attorneys, courts and clients, as well as craft clear and professionally written communications for both internal and external recipients
  • Proficient typist – fast and accurate
  • Proficient using software tools and technology for many purposes including data entry (i.e. Web searches, Google Drive, Gmail, Google Calendar, legal practice management software, Excel, Word, PDF editors, web-based software programs, Outlook)
  • Having legal billing software knowledge a plus
  • Must be a motivated self-starter, critical thinker—handle tasks independently, relying on initial training and instructions—fast learner and good note taker


  • Systematically organize and file case documents and materials
  • Systematically manage electronic files
  • Draft legal notices, discovery documents, basic pleadings and correspondence
  • Court eFiling
  • Practice management software data entry—time entries, record setup
  • Assist with billing activities—data entry, reporting, invoicing, reconciliation, appeals, payments
  • Greet and direct incoming clients and visitors as well as receive deliveries
  • Answer/transfer/take messages for inbound calls
  • Sort and distribute incoming mail; prepare correspondence, send out outgoing mail/FedEx/UPS/faxes
  • General copying/scanning and emailing of documents
  • Assist with meeting setup/cleanup
  • Assist with routine office housekeeping
  • Other administrative tasks as assigned
